ImmiHub, Inc. ("ImmiHub," "we," "us") provides the ImmiHub app and the immihub.ai website. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. We wrote it in plain language on purpose. 1. Information we collect
Account information
When you sign up, we collect your first name, last name, email address, and phone number. Your password is handled by AWS Cognito, our login provider. We never see or store your password itself, and we verify your email with a code when you create your account.
Profile information
If you choose to add them: your city, employer name, employer city, visa type, your H-1B goals, and your notification preferences.
Immigration documents you upload
ImmiHub is a document vault. You choose what to upload. In the current version, that can include your Passport, I-94, I-797 Approval Notice, Visa Stamp, and Spouse EAD.
Information extracted from your documents
We use software to read the dates on your documents (like "valid from" and "valid until") so we can set expiry reminders for you. Some document numbers (like a passport number or I-94 number) may appear on screen while you review and confirm the extracted details, but we do not save those numbers.
Case tracking information
If you use our USCIS case tracking feature, we store the receipt numbers you choose to track and the case status information USCIS returns for them.
Waitlist information
If you join our early-access waitlist on the website, we collect your email address and the visa type you select. We use these only to send you beta invitations and updates, and every email includes a one-click unsubscribe.
Technical information
Like most apps, we collect device type, app version, IP address, and error logs. If you allow push notifications, we store a push notification token for your device. On our website, Google Analytics places cookies (see Section 7).
Messages you send us
If you email support, we keep that correspondence so we can help you.
2. How we use your information
We use your information to:
Store your documents securely and show them back to you
Read expiry dates from your documents and remind you before they expire (currently 180 and 90 days before)
Show alerts and checklists inside the app
Track USCIS case status for receipt numbers you add
Send service emails, like verification codes and expiry reminders
Send push notifications, if you turn them on
Answer your support requests
Keep ImmiHub secure and fix problems
Understand how the app and website are used, so we can improve them
We do not use your documents or personal information to train AI models. Document reading happens through AWS services (Amazon Textract and Amazon Bedrock) inside our own cloud environment, and those services do not use your content to train their models either.
3. Who we share information with
We share information only with the service providers that run ImmiHub, and only so they can provide their services to us:
Amazon Web Services (AWS). Our cloud provider, based in the United States. AWS hosts our servers and database, stores your documents (Amazon S3), reads document dates (Amazon Textract and Amazon Bedrock), sends our emails (Amazon SES), and runs our login system (Amazon Cognito).
Google. Firebase Cloud Messaging delivers push notifications, which requires your device's push token. Google Analytics helps us understand website traffic through cookies.
These providers work under contracts with us that are consistent with this policy. They may only use your information to provide services to us — never for their own purposes.
We never sell your personal information. We never share it with advertisers. We never share your documents or immigration information with your employer.
We do not currently share de-identified or aggregated data with anyone. If that ever changes, we will update this policy first, and anything shared will never identify you personally.
Beyond the providers above, we would only disclose your information if the law requires it — for example, a valid court order. If that happens, we will tell you, unless the law forbids us from doing so.
4. Your choices
What you upload is up to you. ImmiHub works best with your documents in it, but you can use reminders without uploading any files. If you share less, some features will do less — that is the only trade-off.
Notifications. Turn push and email notifications on or off anytime in Profile → Notification Preferences. If you turn both off, you will not receive expiry reminders.
Remove a file. On any document's detail screen, "Remove File" deletes that file from storage. You choose whether to keep or stop its reminders.
We keep your information for as long as your account exists. We do not automatically delete inactive accounts: if you stop using ImmiHub, your data stays safe until you ask us to delete it. Your documents are yours — we do not decide for you when they stop mattering.
When you remove a file, we delete it from storage. When you delete your account, Section 6 applies.
6. Deleting your account and your data
To close your account and delete all your data, email support@immihub.ai from the email address on your account, with the subject line "Delete my account." That is the whole process — no forms, no phone calls.
We will confirm your request and permanently delete your account, documents, extracted information, reminders, and case tracking data within 45 days. Residual copies in our routine system backups are purged automatically on our standard backup cycle shortly after. If a law requires us to keep a specific record longer, we will keep only that record, only for as long as required.
7. Cookies
The ImmiHub app does not use advertising cookies. Our website, immihub.ai, uses Google Analytics cookies to measure visits and improve the site. You can decline or delete cookies in your browser settings, or use Google's opt-out tool linked in Section 4.
8. How we protect your information
Your data is encrypted in transit (HTTPS/TLS) and encrypted at rest on AWS. Documents are kept in access-controlled storage. Account creation requires email verification. Access to production data within our team is restricted.
No system is perfectly secure. If a data breach affects your personal information, we will notify you by email promptly, explain what happened and what data was involved, and give you clear steps you can take to protect yourself.
9. Your privacy rights
We give every ImmiHub user these rights, no matter which state you live in — including the rights California residents have under the California Consumer Privacy Act (CCPA):
Know what personal information we have about you and receive a copy

Delete your personal information (Section 6)
No sale: we do not sell personal information, so there is nothing to opt out of
No penalty: we will never treat you worse for exercising these rights
To use any of these rights, email support@immihub.ai. We verify requests using your account email and respond within 45 days.
10. If ImmiHub is sold, merges, or shuts down
If ImmiHub is acquired, merges with another company, or shuts down, we will notify you by email before your data is transferred anywhere. You will have the chance to download your documents or delete your account first. Any company that takes over must honor this policy for your data, and we will tell you who they are. If we shut down without a successor, we will securely delete all user data after the notice period.
11. Children
ImmiHub is for adults managing their own immigration documents. It is not intended for anyone under 18, and we do not knowingly collect information from children.
12. Changes to this policy
When this policy changes, we will notify you and include a plain-language summary of what changed. For any change that affects how we collect, use, share, or keep your data, we will ask for your active consent before the change applies to you. Minor edits for clarity take effect when posted.
